Overview

The Receptionist is responsible for answering multi-line phone system while performing a variety of clerical duties in addition to providing support to the Human Resources Department.

Responsibilities

  • Answer incoming multi-line telephone calls and transfer calls to appropriate personnel or department.
  • Take and deliver messages or transfer calls to voice mail when appropriate
  • Provide information to callers (address, directions and other information when appropriate)
  • Monitor Outlook and distribute emails appropriately
  • Greet visitors and applicants as they come; determine the nature of business, and announce visitors to appropriate personnel
  • Sign for mail (certified mail) Note: All other deliveries shipping & receiving
  • Perform administrative and office support activities (copying, filing, birthdays, mail)
  • Assist other departments with special projects
  • Assist with other tasks and assignments, as needed

Qualifications

  • Proficient user of Microsoft Office Suites with the ability to regularly work in Word, Outlook and Excel
  • Previous experience in working with multi-line telephone systems is a plus
  • Must possess strong attention to detail and be self-motivated
  • Written and verbal fluency in English and Spanish

Essential Job Functions:

  •        Operate a personal computer, host computer and other general office equipment;
  •        Take directions, carry out instructions, follow posted rules, and interact with coworkers;
  •        Promptness, integrity and reliability are essential to operations
